This notice explains how we handle personal information connected with our website, enquiries and projects.
Information we use
Depending on how you use our service, this can include:
- Your name, business, email address and correspondence.
- Project requirements, site information, supplied drawings, survey observations, photographs and other supporting material.
- Account, order, project-review and payment records.
- Technical information received by our hosting provider, such as your IP address, browser information and requests to the website.
We receive information directly from you and, for project work, from the business commissioning the drawings. Project files may contain information about other people. Only provide information you have authority to share, and remove personal information that the work does not require. Do not include identity documents, payment-card details or sensitive information about individuals in project files.
Why we use it
We use information to answer enquiries, prepare quotations, agree and deliver projects, communicate about corrections, administer payments and protect our service.
Our legal bases are:
- Contract: where processing is necessary to take steps you request before a contract, or perform a contract with you personally.
- Legitimate interests: managing business relationships, communicating with a customer’s representatives, maintaining appropriate project records and preventing misuse. We consider the effect on individuals when relying on this basis.
- Legal obligation: maintaining required accounting records and responding to applicable legal requirements.
Necessary contact and project information is required to provide the requested service. Without it, we may be unable to quote, accept or complete your project. Sending an enquiry does not subscribe you to a marketing list.
Your project files
Selecting files in a local brief tool or downloading a brief does not send those files to SurveyDraw. An email draft is sent only when you send it through your email service.
Email sign-in and private file uploads are available through the project portal. A confirmed receipt records a file successfully received and verified by the upload service, rather than a file selected only on your device. Receipt does not mean the file’s technical suitability or the project scope has been accepted. Stripe checkout is available for provisional deposits and eligible project balances.
SurveyDraw determines how it uses enquiry, account and business-administration records. Where a customer asks us to process personal information in survey materials solely on its instructions, the respective responsibilities and necessary processing terms must be agreed before that processing begins. This privacy notice does not replace that agreement.
We do not publish customer project files as portfolio material without separate permission and an appropriate confidentiality review.
Project processing and review
We use software and review procedures to prepare drawings from the supplied evidence. Using an external processing service for project information requires appropriate authority, a check of the information being shared, and suitable processing arrangements. Unnecessary personal or confidential information should be removed first.
Any project-specific providers and data-handling requirements must be agreed before the relevant information is shared. Drawing material remains subject to technical review against the supplied evidence before final issue.
Service providers and overseas processing
Vercel hosts our website. Our email service handles correspondence. Resend sends sign-in emails, and Supabase provides account and private project-storage services. Stripe handles hosted payments. Payment-card information entered on Stripe’s payment page is handled by Stripe; do not send card details to SurveyDraw.
These providers may process information outside the UK, including in the United States. A UK-based business does not mean all processing takes place in the UK. The arrangements for any new service must be checked before it receives project information. Contact us for details of the providers and transfer safeguards relevant to your project.
See Vercel’s privacy notice and Stripe’s privacy policy.
How long we keep information
We keep enquiries while they remain relevant to an active request or reasonable follow-up. We assess project records according to delivery, agreed corrections, customer instructions, and any documented need to deal with a complaint or legal claim.
Where we process project personal information on a customer’s instructions, return or deletion arrangements form part of the agreed processing terms.
Required accounting records are normally retained for at least five years after the 31 January submission deadline for the relevant tax year. This does not mean every project photograph or source file needs to be kept for that period.
You can ask about retention or request deletion using our contact address. Some records may need to be retained to meet legal obligations or address an unresolved dispute.
Cookies and browser storage
We do not currently use advertising or analytics tracking on the website. Sign-in and security features use necessary session information. The portal keeps your sign-in session in page memory; refreshing the page requires you to sign in again. We keep a temporary order-request reference in session storage to prevent duplicate orders if a request is retried. This reference does not contain your card details, contact details or sign-in token. Services you open separately, such as a hosted payment page, explain their own cookie practices.
Your rights and complaints
Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your personal information.
You can object to processing based on legitimate interests. You can object to direct marketing at any time.
If we rely on consent for a particular activity, you can withdraw it without affecting earlier lawful processing. Contact hadley@surveydraw.co.uk to exercise your rights or raise a concern. We may need to verify your identity.
You can also complain to the Information Commissioner’s Office.
We will update this notice when our services or information handling materially change.
